An astute approach towards automation

Incorporating automation into our facility management services was born out of our commitment to providing consistent quality, cost-effective solutions, and a hassle-free experience for our clients, writes Satish Alahari, Deputy Head – Specialist Services Group, Embassy Services Pvt Ltd. To achieve this, his organisation has implemented technologies which are carefully tailored to suit the unique needs of each facility it manages.

Streamlined workflow

Before introducing the Embassy360 app, to manage our portfolio – which comprises various sectors – we relied heavily on manual processes. Maintenance requests were submitted via email or phone calls, leading to delays in response time.

We have implemented an intelligent ticketing system that automatically logs and prioritises maintenance requests. Embassy360 oversees the complete lifecycle of facility management issues and requests, following pre-set escalation matrices based on client Service Level Agreements (SLAs). This dynamic platform significantly reduces Turn Around Time (TAT) for issue resolution, boosts productivity and empowers site teams to proactively raise tickets, ensuring swift closure and customer satisfaction.

Predictive maintenance

With sensors and data analytics, we monitor the health of critical systems and equipment in real time. This data-driven approach allows us to identify potential issues before they escalate into costly emergencies. For example, our automated HVAC system continuously assesses performance metrics and alerts us to any anomalies, enabling timely maintenance and ensuring the comfort of building occupants while minimising downtime and repair expenses.

IoT Platform

Our IoT platform enables efficient monitoring and regulation of asset performance, occupant comfort and resource consumption (energy, water, and fuel), promoting sustainable practices. Additionally, it facilitates proactive maintenance by monitoring footfall and occupancy levels, ensuring optimal operational efficiency.

CRM tool

E-Spectrum stands as a revolutionary app that transcends the boundaries between everyday tasks and data-powered decision-making. This all-encompassing ecosystem consolidates the functionality of multiple facility management tools, empowering our site teams and clients with invaluable insights for monitoring, identifying and addressing process gaps in pursuit of continuous improvement. The tool has various features such as a Digital Logbook, Inventory Management Dashboard and Employee Feedback.

Digital logbook

The technology module digitises housekeeping and MEP (Mechanical, Electrical, Plumbing) checklists, streamlining supervision and ensuring adherence to providing best-in-class standards. It enables Asset Management by digitising the technician’s job card, maintenance checklists, 52-week PPM calendar, history card, asset abnormality alerts, and AMC expiration alerts along with analytics to support maintenance management.

Employee feedback tool

By simply scanning a QR code, employees can share valuable feedback, fostering a culture of continuous improvement within our operations. This open channel of communication empowers our workforce and drives organisational growth.
