Facility management procurement is more about efficiency, cost control, sustainability and employee experience. With hybrid work models, rising operational costs and ESG goals, companies are rethinking how they procure everyday services — from housekeeping to HVAC maintenance, writes Jayshree Vasavada, a procurement expert.

Before I go on to write about them, here is what I feel they will ensure:

  • Reduce hidden costs through smarter contracts and planning: Poorly structured contracts, emergency purchases, and fragmented sourcing often lead to invisible expenses. By planning smarter and negotiating better, companies can avoid surprise costs like installation fees, service delays or inflated last-minute pricing.
  • Improve service quality with performance-based sourcing: Procurement is not just about buying — it is about ensuring consistent delivery. Performance-based sourcing ensures vendors are accountable for outcomes, whether it is spotless floors, timely repairs, or reliable pantry services.
  • Boost sustainability with eco-friendly choices: Eco-friendly choices — like LED lighting, refillable dispensers, or biodegradable cleaning supplies — are not just good for the planet. They reduce long-term costs and align with corporate ESG goals, making procurement a driver of responsible growth.
  • Enhance control through centralised systems: Centralised systems and digital tools give procurement teams real-time visibility into spends, vendor performance, and contract compliance. This control helps prevent duplication, fraud, and inefficiencies across multiple office locations.
  • Empower teams with practical, repeatable strategies: When procurement processes are clear, repeatable, and practical, facility teams can focus on execution rather than firefighting. These points offer a playbook that simplifies decision-making and builds confidence across departments.

These are basic but strategic moves — easy to implement, yet capable of delivering significant savings, better service, and operational excellence. In a corporate world where every rupee and every minute counts, smart Facility Management procurement is not just important; it is essential.
